Swopi Teams has three roles: Admin, Manager, and Member. Roles control what each person can see and manage in the dashboard and in the mobile app. The admin assigns roles to members on the Users page (or automatically based on Entra ID groups, if you have SSO enabled).
Availability: team and role management is part of the Teams plan.

#Admin
The admin has full control over the organization:
- invites, removes, and changes members' roles (by email and via CSV import),
- manages Team settings — branding, enforced SSO, automatically adding members by domain, contact sharing,
- manages the subscription, license counts, and billing,
- configures integrations (Microsoft Entra ID sync, SCIM provisioning),
- edits the whole team's business cards, contacts, and devices,
- uploads team assets and sets the default colors for new business cards.
When enforced SSO is on, the admin can still sign in by another method besides SSO — a safeguard so the team can't lock itself out if SSO stops working.
Tip: you can have more than one admin. We recommend at least two — both for coverage and for verifying domains for auto-join.
#Manager
A manager manages the team's content but not the organization itself:
- edits the whole team's business cards, contacts, and devices (like an admin),
- sees insights for the whole team, including individual members' performance,
- has view-only access to defaults and team assets,
- does not manage users, the subscription, organization settings, or integrations.
This role is meant for team leaders — typically heads of sales teams who need to see and edit their team's work without access to billing.
#Member
A member works with their own content:
- edits their own business cards (and chooses from the team assets),
- sees and manages their own leads; they only see the whole team's leads if the admin has enabled contact sharing,
- sees summary insights, without a breakdown by other members,
- manages their own devices and their own email signature.
#Subteams
Splitting an organization into subteams with their own managers ("Subteam Admin") is on the roadmap — it's not available yet. To separate teams today, use the Manager role or set up separate organizations.
#How roles are set
- Open Users in the left menu (admin only).
- On a member, click the "⋮" menu → Change role.
- Choose Admin, Manager, or Member.
When signing in via SSO (Microsoft Entra ID), roles are assigned automatically based on Entra groups — see Single sign-on (SSO).
